Purpose of the job:

Reports to Program Management - Government Services

The Administrative Assistant - Government Services provides administrative and clerical support for the BAI Government Services department. . The Administrative Assistant - Government  Services is responsible for assisting in daily office needs, administrative activities, data processing and other related clerical and administrative team support.

We are looking for a resourceful and efficient organizer who is comfortable handling duties independently or as part of a team. Assuring timely, accurate, through and professionally completed work and work products are vital to the success of this position.

Duties include but are not limited to:

  1. Process Passport applications to ensure personnel are available and ready for deployment to overseas locations
  2. Process required Visa applications for personnel
  3. Process Visa renewal applications for all personnel and maintain an up to date Visa tracker
  4. Maintain the Synchronized Pre-deployment and Operational Tracker (SPOT) system for all deploying personnel
  5. Process the necessary paperwork for Letters of Authorization (LOA) and submit to the proper contract representative at USTRANSCOM
  6. Process the necessary paperwork for Common Access Cards (CAC) and submit to the proper contract representative at USTRANSCOM
  7. Process and track job candidates in the Berry Aviation ATS On Demand job application website at the direction of the PMO
  8. Assist the PMO in recruiting employee candidates for new and existing job openings to include:Maintain accurate database of active job candidates for all positions being hiredAssist the PMO in scheduling deployments of personnel
    1. Working with PMs and HR on job requisitions and postings
    2. Coordinate with the PMs to screen for minimum qualifications of candidates that apply and schedule first round interviews for qualified candidates.
    3. Administer appropriate employment testing/verifications: i.e., security clearances.
    4. Coordinate with HR and training on new hire and termination check lists, offer letters, orientation and travel
  9. Assist the PMO and Training Office in scheduling training for personnel
  10. Assist the PMO in maintaining Sub-contractor training and deployment schedules
  11. Develop a database to track and share OCONUS employees travel itineraries as issued by the Travel Department among the Program Management group.
  12. Develop a database to track and share OCONUS employees visa expiration dates and proactively advise employees to renew expiring visas on their off rotations.
  13. Other duties assigned by the PMO or Director of Government Services.

 

Preferred Skills/Certification

  1. Advanced skills in Microsoft Office Suite (Excel, Word, PowerPoint, SharePoint)
  2. Bachelor’s Degree in Business Admin or related field or related experience
  3. Department of Defense (DOD) computer systems
  4. Experience working with remote deployed/rotational personnel

Experience and Skills:

Minimum years of experience necessary to perform essential functions of the job:

  • 2 or more years as an administrative assistant, professional secretary, or office clerk 

Minimum education level to perform essential functions of the job:

  • High school diploma with some college experience may be appropriate

Unique skills or certifications needed to perform essential functions of the job:

  • Application and intermediate knowledge of office practices and procedures.

  • Intermediate computer skills and effective phone etiquette skills.

  • Administrative writing skills for word processing, spreadsheet and presentation development.

  • Knowledge of Microsoft Office applications (Word, Excel, Outlook, Powerpoint).

  • Working knowledge of office equipment such as computers, printers and copiers.

  • Must establish and maintain effective working relationships at all employee levels.

  • Excellent customer service, interpersonal and problem solving skills.

  • Excellent time management skills, attention to detail and the ability to prioritize work.

  • Must maintain confidentiality of work related information and materials.

  • Strong English communication skills, both written and verbal.

  • Employee must have the ability to apply common sense understanding to carry out detailed written and oral instructions.
